Privacy Policy

CollabSong keeps the moving pieces of a collab in one place. That means we handle information about members, hosts, contributors, applications, agreements, deadlines, messages, and the work people do together.

This policy explains what we collect, why we need it, who may see it, how long we keep it, and what choices you have.

1. Who we are

CollabSong is operated by Simply Cuttable, LLC, a Tennessee limited liability company doing business as CollabSong.

Simply Cuttable, LLC controls the information CollabSong uses for its own purposes, such as accounts, billing, security, analytics, support, and the public collab calendar.

When a host uploads or manages information about applicants, contributors, sponsors, affiliates, prospects, or team members, the host usually decides why that information is being used. CollabSong processes it so the host can run the collab. Section 11 explains this relationship in more detail.

2. Who CollabSong is for

CollabSong is a business service for people acting through a business, profession, nonprofit, or other organization. You must be at least 18 years old to create an account or use interactive features.

We do not knowingly collect information from anyone under 18. Contact privacy@collabsong.com if you believe a minor has provided information to us.

CollabSong is initially marketed and sold in the United States, Canada, and Australia. Free account access may be available elsewhere. Paid services may be unavailable in some countries.

3. What we collect

The information we collect depends on what you do in CollabSong.

Information you give us

This may include:

• Account information: your email address, account identifiers, sign-in activity, and records showing which version of the Terms you accepted.
• Profile information: your display name, business name, bios, headshots, websites, social links, offers, lead magnets, talk topics, payout contact information, phone number, and anything else you choose to add.
• Collab information: the name, type, description, host details, dates, application process, requirements, commission structure, tiers, sponsorship details, promotional commitments, and related links.
• Applications and participation records: application answers, invitation and acceptance status, deadlines, commitments, deliverables, submissions, revisions, promotion status, and project history.
• Agreement records: the agreement text, the exact version accepted, your typed signature, acceptance date, IP address, user agent, email address at acceptance, and related evidence.
• Messages: contact requests, host announcements, questions, support messages, reports, and other communications sent through CollabSong.
• Files and content: logos, cover images, headshots, recordings, promotional materials, contracts, spreadsheets, PDFs, links, product details, swipe copy, and other materials you upload.
• Saved items and preferences: collabs you save, email preferences, cookie choices, and notification settings.
• Purchase information: subscription plan, renewal status, collab credits, featured-listing purchases, invoices, billing address, tax information, transaction status, and purchase history.
• SMS information: your phone number, consent record, delivery status, and opt-out status if SMS features are used.
• Privacy and legal requests: information needed to verify and respond to your request.

Stripe collects payment-card details directly. CollabSong does not receive or store your complete card number.

Information a host or another user adds about you

A host or authorized team member may add, import, or manage information about applicants, contributors, sponsors, affiliates, prospects, and other people connected to a collab.

That may include:

• Name, email address, business name, website, and social links
• Application answers and referral source
• Invitation, acceptance, rejection, withdrawal, or removal status
• Deliverables, deadlines, promotional commitments, and completion history
• Agreement status and electronic-signature evidence
• Affiliate links, tracked activity, sales, commissions, and payout records
• Internal notes, review history, and operational messages
• Files, images, promotional materials, and other collab content

Hosts must have a lawful reason to provide and use this information. They may use it to evaluate applications, operate the relevant collab, meet legal obligations, and handle other purposes you separately authorize.

Information from public sources

CollabSong may create calendar listings from information a host or business has made publicly available, including public websites, application pages, landing pages, and public social posts.

A listing may include:

• Collab name, type, description, dates, deadlines, and requirements
• Host or business name
• Public business contact information
• Commission, promotion, audience, sponsor, or participation details
• A link to the official page or application
• The source URL and dates connected to collection and verification

We may discover a collab inside a private community. We only create a listing when the information is also supported by a publicly accessible page, application, website, or announcement. We do not republish details available only inside the private community.

For seeded listings, we use factual details, write our own summary, and link to the official source. We do not intentionally copy photographs, graphics, logos, or other creative materials unless the host supplies them, approves them, or another lawful basis applies.

When reasonably possible and where required by law, we tell an identifiable host that a listing has been added. Hosts can claim, correct, or remove a listing. No explanation is required for removal.

Information from connected services

If you connect an email provider, social platform, commerce tool, calendar, payment service, or another account, CollabSong may receive the information authorized by that connection.

This may include:

• Aggregate email-list size and growth
• Campaign names, content, send dates, recipient counts, opens, clicks, and whether a required promotion was sent
• Drafts or content created through the integration
• Aggregate social follower, subscriber, reach, and engagement metrics
• Periodic snapshots of professional metrics
• Affiliate links, clicks, sales, commissions, and payout information
• Calendar dates and commitments
• Invitation emails or records you choose to forward or import

CollabSong does not need individual subscriber names or email addresses to verify list size, growth, or promotional activity. We do not intentionally import those identities for that purpose.

When you disconnect a service, future syncing stops and the access token is deleted or revoked. Accurate historical metrics and verified collab records may remain as part of the collab history.

Information collected automatically

We and our providers may collect:

• IP address and approximate location
• Browser, device, operating system, and language
• Referring page and pages viewed
• Searches, filters, clicks, saves, applications, and other interactions
• Authentication, security, error, and diagnostic logs
• Cookie, advertising, and consent identifiers
• Email delivery, open, click, bounce, complaint, and unsubscribe events
• Tracked-link activity and attribution information

4. What we do with it

We use information to run CollabSong and provide the features you asked for. That includes:

• Creating and managing accounts
• Sending passwordless sign-in links and one-time codes
• Showing public or private profiles according to your settings
• Operating the public and member-only collab calendar
• Creating, reviewing, updating, archiving, and removing listings
• Saving collabs and sending deadline alerts
• Receiving and managing applications
• Helping hosts manage people, dates, agreements, submissions, announcements, promotions, and project status
• Giving contributors access to Collab pages and historical records
• Recording electronic signatures and preserving accepted agreement versions
• Sending the Fresh Collabs Forecast and other marketing where permitted
• Sending account, billing, application, deadline, agreement, collab, and security messages
• Sending optional SMS messages after separate consent
• Processing subscriptions, collab credits, featured listings, invoices, and taxes
• Connecting outside services at your direction
• Verifying professional metrics and promotional activity
• Providing useful filters and sortable professional information
• Generating, rewriting, extracting, organizing, summarizing, and analyzing content with AI-assisted tools
• Measuring service use, advertising, conversions, and performance
• Finding fraud, spam, abuse, infringement, and security threats
• Providing support and responding to privacy requests
• Meeting legal, tax, accounting, and regulatory obligations
• Establishing, exercising, or defending legal claims
• Improving CollabSong

5. Legal bases for EEA and UK information

When EEA or UK data-protection law applies, we rely on one or more of these legal bases:

• Contract: to create your account, provide requested features, process purchases, deliver Collab pages, and perform our Terms.
• Consent: for nonessential cookies, advertising technologies, certain marketing, optional SMS, and other processing where we ask for permission.
• Legitimate interests: to operate and improve CollabSong, maintain a useful public calendar, protect the service, prevent abuse, provide support, keep appropriate records, understand service use, and communicate with business users about relevant features.
• Legal obligation: to follow tax, accounting, regulatory, court, and other legal requirements.
• Legal claims: to establish, exercise, or defend legal rights.

When we rely on legitimate interests, we consider the likely effect on the people involved. Safeguards may include limited fields, source records, correction and removal options, access controls, and human review.

You may object to legitimate-interest processing as explained in Section 15.

6. AI-assisted processing

CollabSong uses third-party AI services, which may include Anthropic's Claude, Google's Gemini, and Manus.

Depending on the task, these providers may process application answers, bios, offers, promotional copy, writing samples, invitation content, collab records, submissions, messages, and performance information.

We may use AI to:

• Extract and organize information
• Generate or adapt promotional copy
• Summarize records
• Analyze collab activity
• Help with administration and support
• Provide the CollabSong Assistant and related features

We aim to use business or API services that do not use customer submissions to train public models. We also aim to send only what the task needs and avoid passwords, access tokens, complete card information, and unnecessary sensitive information.

AI can be wrong. Generated content may be incomplete, inaccurate, or unsuitable. Review it before you publish, send, schedule, or rely on it.

7. Professional metrics without a mystery score

CollabSong may use platform records and connected services to show objective professional information, such as:

• Aggregate audience size
• Promotion history
• Completed collabs
• On-time submissions or promotions
• Tracked or reported clicks, sales, commissions, and payouts
• Other factual participation records

We do not assign one overall trust or reputation score.

Metrics may be labeled as verified, platform-recorded, host-reported, imported, or self-reported. We may also show the time period and last-updated date.

Hosts may sort or filter applicants using available professional information. The host makes the final decision. CollabSong does not automatically ban, suspend, or impose a similarly significant restriction based only on an automated metric.

You may ask to inspect, correct, or add context to inaccurate professional records. You may also appeal a CollabSong correction decision.

8. Email and SMS

Account and collab email

We may send:

• Sign-in links and one-time codes
• Account and security notices
• Application, acceptance, rejection, and participation messages
• Host announcements
• Deadline and deliverable reminders
• Agreement and signature records
• Collab Commitments summaries
• Billing, renewal, invoice, and tax notices
• Support and legal communications

These messages help provide or administer the service. Unsubscribing from marketing does not stop email needed for your account, purchases, security, or active collabs.

Hosts may send operational messages through CollabSong for the relevant collab. They may not use CollabSong's communication tools to add participants to unrelated marketing lists or send unrelated promotions without a separate lawful basis.

Marketing email

The Fresh Collabs Forecast and other promotional emails are marketing messages. Every marketing email includes an unsubscribe option.

Unsubscribing from marketing does not remove calendar access or close your account. We keep a limited suppression record so we do not accidentally add you back.

SMS

SMS is optional and requires separate consent. When SMS is offered, the consent notice will explain what messages you may receive, that frequency varies, that message and data rates may apply, that consent is not required to purchase or participate, and how to opt out.

9. Cookies and similar technologies

CollabSong uses essential browser storage, analytics, and advertising technologies.

Our regional rules work like this:

• In the EEA, UK, and Quebec, Analytics and Advertising remain off until you actively accept them.
• In other regions, we provide notice and an immediate opt-out. Where permitted, those technologies may operate unless you opt out.
• If we cannot reliably determine which rules apply, Analytics and Advertising remain off until you enable them.
• A recognized Global Privacy Control signal disables targeted advertising in every region and overrides an earlier Advertising choice for that browser.

10. What other people can see

Visibility depends on the feature and the choices made by the member or host.

• Visitors may see a limited preview of open listings.
• Signed-in members may see full calendar listings and application links.
• Public listings and archived pages may show the collab name, host display name, business name, dates, requirements, approved images, and other listing details.
• Profiles are private by default. You must deliberately choose to make yours public.
• A host may publicly display an approved participant name, headshot, business, offer, talk title, and related promotional details only after the participant is marked as okay to announce.
• Public lineup embeds may display approved details on a host's website.
• Applications, private messages, agreement details, internal notes, payout information, private deliverables, and Saved items are not public.
• Accepted participants may see a host-controlled roster of other accepted participants.
• Members keep appropriate access to collabs they applied to, joined, hosted, or helped manage, including completed collabs.

Public information may be indexed, copied, archived, or cached by search engines and other services. Removing it from CollabSong may not immediately remove copies held elsewhere.

11. Who we share information with

People involved in the collab

Hosts and authorized team members may see the applications, participation records, submissions, agreements, messages, and other information needed to run the collab. Participants receive the information needed to understand and complete their commitments.

Once a host exports information from CollabSong, the host is responsible for protecting that copy and using it only for authorized purposes.

Companies that help run CollabSong

Depending on the features in use, providers may include:

• Supabase: database, authentication, storage, and infrastructure
• Vercel: hosting, delivery, and cookieless analytics
• Resend: email delivery and delivery-event reporting
• Stripe: payments, subscriptions, billing, and transaction records
• Google: analytics, Gemini AI services, and connected services
• Meta: advertising measurement and targeted advertising as permitted by regional rules and your choices
• Pinterest: advertising measurement and targeted advertising as permitted by regional rules and your choices
• TikTok: advertising measurement and targeted advertising as permitted by regional rules and your choices
• Anthropic: Claude AI services
• Manus: AI-assisted research, extraction, analysis, and operations
• Connected email, commerce, social, calendar, and automation services: when you choose to connect them

Providers receive the information reasonably needed for their job. They also operate under their own terms, privacy policies, and contractual obligations.

Connected services

When you ask CollabSong to connect, sync, draft, export, or act through another service, information moves between CollabSong and that service as needed to complete your request.

Legal, safety, and professional reasons

We may disclose information:

• To comply with a subpoena, court order, legal process, or regulatory requirement
• To investigate fraud, abuse, infringement, harassment, security incidents, or threats
• To protect users, CollabSong, Simply Cuttable, LLC, or the public
• To enforce agreements or defend legal claims
• To lawyers, accountants, auditors, insurers, and other professional advisers when their work requires it

A sale or reorganization of the business

Information may transfer as part of a financing, merger, acquisition, reorganization, sale of assets, bankruptcy, or similar transaction.

A successor may process information under this policy. We will give additional notice or seek consent where required if the successor plans a materially different use.

We do not sell the database

We do not sell or license member profiles, applications, contact information, performance histories, connected-account data, or the raw relationship database to data brokers or other businesses for their independent use.

Advertising disclosures may still be called a sale or sharing under some US privacy laws, even when no money changes hands. The Cookie Policy and Cookie Settings explain those choices.

12. International processing

CollabSong is based in the United States. We and our providers may process information in the United States and other countries where they operate. Privacy laws in those countries may differ from the laws where you live.

Where required, we use lawful transfer safeguards. Depending on the situation, those may include adequacy decisions, approved contractual clauses, UK transfer terms, or another valid mechanism.

13. How long we keep information

We keep information only as long as we reasonably need it.

While your account is open

Account, profile, Saved, preference, and connected-account information is generally kept while your account is active.

When you close your account, we remove the public profile, revoke connected services, delete Saved items and ordinary preferences, and delete information that no longer serves a continuing purpose.

Collab, agreement, and financial records

We keep records needed to document a collab or transaction for up to seven years after the collab ends or the transaction occurs.

That may include applications, participation history, agreement versions and acceptance evidence, important messages, approved submissions, purchases, commissions, ownership history, and records needed for disputes or legal obligations.

Closing your account does not erase an agreement or historical collab record that a host, participant, or CollabSong reasonably needs to keep.

Routine operational records

Routine support, email-delivery, administrative, consent, privacy-request, security, and public-listing source records are generally kept for up to three years after the matter closes.

We may keep a particular record longer if it is tied to fraud, litigation, an unresolved dispute, or another legal obligation.

Unsubscribe records and backups

We keep limited suppression information as long as needed to honor marketing opt-outs.

Information may remain in encrypted backups until the ordinary backup cycle overwrites it. We target a cycle of no more than 90 days. Backup data is not returned to active use unless needed for disaster recovery, security, or legal compliance.

When a retention period ends, we delete or anonymize the information unless the law allows or requires us to keep it longer.

14. Closing your account

You may ask to close your account at any time.

We may disable access promptly and generally complete ordinary deletion within 30 days. Some records may stay longer when they are needed for an agreement, transaction, tax requirement, fraud investigation, security issue, legal claim, or another lawful reason.

Where required, we will explain which categories were retained and why.

Approved content may remain available for the period agreed between a host and contributor, including to serve previous purchasers or preserve an agreed archive. It cannot be reused for a new collab without appropriate permission.

15. Your rights and choices

Depending on where you live, you may have the right to:

• Ask whether we process your information
• Access or receive a copy
• Correct inaccurate information
• Delete information
• Restrict certain processing
• Object to legitimate-interest processing
• Withdraw consent
• Opt out of marketing
• Opt out of targeted advertising, sale, or sharing
• Receive certain information in a portable format
• Appeal a denied request
• Use an authorized agent where permitted
• Complain to a privacy regulator
• Receive information about qualifying automated decision-making

These rights have legal limits. For example, we may keep agreement evidence, transaction records, or information needed to defend a claim.

To make a request, use the privacy request form or email privacy@collabsong.com. We may verify your identity by asking you to sign in, sending a message to your account email, or requesting limited additional evidence.

We respond within the period required by applicable law. If we deny a request, you may appeal by replying to the decision, or by submitting an appeal through the privacy request form, explaining why you believe it should be reconsidered.

Advertising choices

Use Cookie Settings in the footer to review or change Analytics and Advertising choices.

A recognized Global Privacy Control signal opts the browser out of targeted advertising in every region.

Public listings

A host may claim, correct, or remove a public-source listing through the listing request form or by contacting privacy@collabsong.com. No reason is required.

Canada

Canadian residents may contact the Privacy Lead with questions, access or correction requests, or complaints. You may also have the right to contact the applicable federal or provincial privacy regulator.

Australia

Australian residents may contact the Privacy Lead with questions or complaints. We will investigate and respond within a reasonable period. You may also have the right to contact the Office of the Australian Information Commissioner.

EEA and UK

Where EEA or UK law applies, you may contact the data-protection authority where you live, work, or believe a violation occurred.

You may object to direct marketing at any time. You may also object to legitimate-interest processing, although we may continue where we have compelling lawful grounds or need the information for legal claims.

United States

Residents of certain states may have rights to access, correct, delete, obtain, or opt out of certain uses of information.

Where required, we honor authorized-agent requests, appeals, and recognized opt-out preference signals. We do not discriminate against you for exercising an applicable privacy right.

16. How we protect information

We use reasonable safeguards suited to the information we handle. These may include:

• Passwordless authentication and scoped personal links
• Row-level database access controls
• Encrypted connections
• Provider-managed encryption at rest
• Multifactor authentication for important administrative services
• Individual administrative accounts where available
• Need-to-know access
• Confidentiality obligations for workers and contractors
• Prompt access removal when someone no longer needs it
• Audit records for sensitive administrative actions
• Security, authentication, and diagnostic logs
• Separate production and development environments
• Test or scrubbed data in development where practical
• Incident-response procedures

No service can promise perfect security. You are responsible for protecting your email account, devices, connected services, and personal links.

Contact privacy@collabsong.com promptly if you suspect unauthorized access.

17. Security incidents

We investigate suspected breaches and take steps to contain them. Depending on the incident, we may revoke sessions, rotate credentials, disable an integration, regenerate personal links, or require another protective step.

We notify affected people and regulators when the law requires it. We also maintain legally required breach records and require relevant providers to notify us of incidents involving CollabSong information.

18. Links to other sites

Listings and Collab pages may link to host sites, application forms, payment pages, sales pages, social accounts, and other services we do not control.

Once you leave CollabSong, that service's privacy policy applies.

19. Changes to this policy

We may update this policy as CollabSong changes.

The date at the top shows the current version. For a material change, we will provide email or prominent in-product notice before it takes effect where reasonably possible and required.

Minor clarifications, formatting changes, and legal updates may take effect when posted.

20. Contact us

Please use a form when one exists. Requests submitted through the forms below are answered faster than email or snail mail.
